Terms & Conditions

By purchasing an event ticket from Rathwood, you & your guests agree to be bound by these Terms & Conditions. We reserve the right to change these Terms and Conditions at any time, effective immediately upon posting on our website.

1. Rathwood Event Purchase & Ticketing Policy

Tickets must be booked through our website https://www.rathwood.com/events or through our phone team.
Ticket prices vary and are available to view on our website rathwood.com/events. All tickets are subject to a booking fee.

When you book your tickets online using a credit or debit card, you will automatically receive a confirmation email at the address you provided. Please ensure that you enter your email address correctly to receive your tickets. If you do not receive a confirmation email within 24 hours of your booking, please contact us at events@rathwood.com.

You must bring your booking confirmation with you on the day of your event. Preferably, on mobile, or printed if necessary. This can only be used for admittance to the event once, so we encourage you to keep your tickets secure and not to share them with others. When you arrive, present your booking confirmation to staff on entry.

If you miss your allocated time slot, we will endeavor to accommodate you with an alternative slot where possible. Please allow time for traffic delays, weather conditions, etc.

We have peak and off-peak rates available. Tickets are priced per person. Promotional tickets and offers cannot be used in conjunction with one another. For any promotions we offer, the discount is always included in the ticket pricing upon checkout.

Booking in peak hours and, price balance may be incurred if a customer change into a PEAK HOUR slot

2. Ticket Amendments (applicable with cancellation option only)

Rescheduling your visit: You can change your booking date and time up to 48 hours before your scheduled time, provided you have purchased the cancellation option at the time of your booking.

In certain circumstances, if you require to change the date and time on your booking and you did not purchase the cancellation option, this is subject to approval from the Rathwood Events Management team.

When booking there are peak and off peak rates, a balance may be incurred on your booking if you change from an off peak to a peak time slot. If ticket amendments are made from a peak to an off peak time slot Rathwood are not entitled to offer a refund to the customer.

To change your booking to another date and/or time, please email events@rathwood.com. You can only reschedule if there is availability. If another suitable date or time is not available, we would advise you to transfer your tickets to friends or family and make a new booking for yourself at a more suitable date & time. If you are transferring your tickets to friends or family, please note we cannot change the name on the booking and will require the booking number and original booking name upon check-in. Tickets are non-refundable unless there is a cancellation option purchased at the time of booking.

3. General

We will make every effort to provide you with the event as advertised, but Rathwood reserves the right to make any alterations to this, including changes in dates, time, modifications in the program, or provision of alternative facilities where deemed necessary.

Please take care and obey traffic instructions by our stewards and lead vehicles. Children must be supervised at all times. The management reserves the right of entry.

4. Rathwood Events - Cancellation Policy

Tickets are non-refundable and cannot be canceled once booked. However, if you purchased a cancellation option at the time of booking, you may cancel your ticket under the terms of that option. This can be found under the heading below Cancellation Option.

Tickets can be transferred to friends or family. Please note we are unable to change the name on the booking and they will have to present the booking number and name on the booking upon check-in.

The organizers of the event will do everything in their power to ensure the smooth running of the event. In the unlikely event of something going wrong, we will facilitate, in the best possible manner, to deliver the experience as close as possible to the organized time up to & including rescheduling or canceling visits.

In the event of cancellation by Rathwood due to weather conditions, we will do our best to move your date where & when possible to the most suitable & available slot. If none of the new rescheduled dates suit the customer, Rathwood will offer the customer a full refund (including cancellation option and booking fee).

Please note : Any exceptional refunds will be for the ticket price only. Booking fees are non-refundable under any circumstance.

Cancellation Option

If you purchased the Cancellation Option when booking your tickets and wish to cancel or transfer them to another date, please send your request via email 48 hours before the event to cancellations@rathwood.com. This may not always be possible as time slots may be full and peak periods may differ.
Please note if you need to cancel your booking, the refund does not include the booking fee or the cancellation option fee. The cancellation option can only be chosen at the time of the initial booking.

Refund Eligibility

Only full ticket cancellations and transfers are permitted; partial refunds or partial transfers are not available.

Submit your cancellation request to cancellations@rathwood.com at least 48 hours before the specified cancellation date and time on your ticket.

Cancellation Email Requirements
  • Booking reference number
  • Name under which the tickets were booked
  • Reason for canceling or transferring
  • Daytime contact number
  • Name on the card the booking was made with
Withdrawal of Cancellation Email

Once a valid cancellation email is submitted, it cannot be withdrawn.

Late Cancellation

Cancellations made less than 48 hours before the event will not be entitled to any refund. In the case of illness or bereavement, an e-voucher may be processed, but this is subject to approval.

Confirmation and Contact

Upon submitting a cancellation email, you will be contacted once this cancellation has been processed. Please email events@rathwood.com if you have not received cancellation confirmation of your booking.

Options After Cancellation

An alternative date and time will be offered, if available.
Refund of tickets/e-voucher (less booking fee & cancellation option) if another date and time is not available.

Non-Refundable Scenarios

No refunds will be made for:

  • Cancellations without the purchased Cancellation Option. In the case of no cancellation options where illness or bereavement has occurred, an e-voucher may be provided but this is subject to approval.
  • Cancellations after the specified date and time on the ticket.
  • Partial ticket cancellations for a group.
  • Where a customer missed their timeslot.
Submission Method

Cancellations must be submitted via email to cancellations@rathwood.com; other methods will be considered invalid.

SEVERE WEATHER CONDITIONS AT THE VENUE

The event will only be canceled if the weather in the location is perceived to be a danger to the public (e.g., extremely high winds), or if there is a major failure in the electricity.

The event will be canceled when:

  • The weather at the venue is perceived to be a danger to the public due to very high winds.
  • There is a major fault in the electric system.

The event will NOT be canceled when:

  • There is heavy rain, snow, or very cold weather at the venue, please wrap up and wear warm, appropriate clothing.
  • There is heavy rain or snow in another part of the country – we advise visitors to take note of weather conditions for their journey and allow ample time to get here.

A decision will be made 2 hours before the first train departs, and visitors for the day will be contacted by email or phone, and a message will go out on all our social media platforms advising any cancellations due to weather.

If the event must be canceled, we will offer you a new date to come along where & when possible. In this case, we will contact you directly as soon as possible, but please be patient and understand that many visitors may be affected and we may need some time to do so. If this is not feasible, Rathwood will offer the customer a full refund (including cancellation option and booking fee).

MAJOR TECHNICAL FAULTS

The organizers of the event will do everything in their power to ensure the smooth running of the event. In the unlikely event of something going wrong out of our control, we will facilitate, in the best possible manner, to deliver the event as close as possible to the organized time up to & including rescheduling or canceling visits.

Refundable fees may be offered at the discretion of the management, but no compensation will be available for any mishap, breakdown of service, or cancellation as deemed necessary/unavoidable by the organizers. If some part of the experience is affected, the organizers will accommodate a replacement where possible, but reserve the right to remove promoted elements if & when deemed necessary.

In the unlikely event of a major technical fault, our team will endeavor to contact you as soon as possible to reschedule your visit.

5. Safety

Please obey all instructions of the stewards, and please ask any of the stewards if you need help/have any concerns. There will be equipment and cabling around the venue that may be hot or carrying electricity so please be aware of your surroundings.

Personal Injury Disclaimer: Rathwood entity and its owners, officers, directors, or administrators will not be held responsible for any injury, accident, or incident during the event booked. As the event takes place near public thoroughfares, it could potentially result in injury or loss, including death.
By accepting the terms and conditions on the booking page, all participants are agreeing to the following personal statement:

On behalf of myself and the group whom I am booking for – I understand the nature of Rathwood Events I will accept any staff instructions during the event. I understand therefore the risks and dangers of serious bodily injury, including permanent disability, paralysis, and death. I understand that these risks and dangers may be caused by my own actions or inactions, the actions or inactions of others, and/or the condition in which the activity takes place. I understand that there may be risks both social and economic losses either not known to me or not readily foreseeable at this time and fully accept and assume all such risks and responsibility for losses, costs, and damages that I may incur as a result of the participation in the activity. I will notify Rathwood’s Event Management of any medical condition or medication that I am taking which may affect my participation.

Authority to Act as Agent

Where the booking is made by an individual on behalf of other participants, such individual confirms: I represent and warrant that I have full legal authority to complete the Booking Form on the Bookings page on behalf of all parties covered by my booking on www.rathwood.com/events , including full authority to make use of the credit or debit card account to which our booking fees will be charged. In registering third parties, I represent and warrant that I have been duly authorized to act as an agent on behalf of such parties in performing this event registration.

By proceeding with the event booking, I agree that the Terms and Conditions shall apply equally to me and to the third parties for whom I am acting as an agent and shall indemnify the owners, officers, directors, and administrators of www.rathwood.com/events against all and any loss, damages, or cause of action, which might arise.

Release of Liability

I hereby release, discharge, and hold harmless the owners, officers, directors, and administrators of the https://www.rathwood.com/events website/entity, their respective agents, affiliated legal entities, officers, members, volunteers, and employees, other participants, sponsors, and advertisers from all liability, claims, demands, losses, and/or damages caused, or alleged to be caused, in whole or in part by me or those for whom I act as agent, for any and all damages which may be sustained or suffered by me or those whom I act as an agent with my or their participation in, and/or arising out of my travel to, taking part in, or returning from a https://www.rathwood.com/events activity.

Furthermore, I will indemnify, save, and hold harmless www.rathwood.com/events and its owners, officers, directors, administrators from any litigation expenses, legal fees, loss, liability, damage, or costs which may be incurred as the result of such a claim.

7. Feedback

The majority of our customer experiences are very positive. However, we welcome all types of feedback – we strive to be the best we can be, but we may make mistakes, we are human too. We are here to listen to you to better ourselves and try to create the best possible experience. We would expect and appreciate you giving us the opportunity to do so.

Photography and Media Consent

By attending this event, you acknowledge and agree that photography, video recordings, and other media will be taken. These images and recordings may be used by Rathwood for promotional purposes, including but not limited to online marketing, social media, and print materials. By entering the event premises, you consent to being photographed, filmed, and otherwise recorded, and you waive any claims to compensation or rights related to the use of your likeness in such media. If you do not wish to be photographed or recorded, please inform the event staff upon arrival.
